1. Overview
Quantum CRM (“Quantum CRM,” “we,” “us,” or “our”) respects your privacy and is committed to protecting it. This Privacy Policy explains how we collect, use, disclose, and safeguard Personal Information when you visit or use our platform at https:// app.quantumcrm.ai/, communicate with us, or otherwise interact with our services (collectively, the “Platform”).
Processor vs. Controller roles. This Privacy Policy does not apply to the end-customers of our clients. Our clients use the Platform to store and process their own customers’ Personal Information (e.g., to create websites and applications, sell products/services, send communications, manage CRM records, and run automations). In those cases, we act as a processor/service provider to our clients, and our clients’ privacy notices govern their processing of Personal Information. When you give data to a Quantum CRM client, that client’s privacy notice applies.
By accessing or using the Platform, you agree to this Privacy Policy. If you do not agree, please do not use the Platform.
2. Information We Collect
We collect information that identifies, relates to, describes, or could reasonably be linked with you (“Personal Information”):
a) Directly from you.
When you create an account, subscribe, request information or support, or otherwise contact us, we may collect your name, email address, organization, billing details, and authentication credentials. If you submit Personal Information about others, you represent that you have authority to do so (e.g., appropriate consent).
b) From third parties.
We may receive information from marketing partners, affiliates, integration partners, data providers, event hosts, and public sources (e.g., professional or contact details, publicly available content).
c) Automatically through the Platform.
We collect device and usage data (e.g., IP address, device identifiers, browser type, pages viewed, actions taken) and use cookies, pixels, and similar technologies. See our Cookies disclosures (if posted separately) for details and choices.
3. How We Use Personal Information
We use Personal Information for:
- Providing and improving the Platform. To operate, maintain, optimize, personalize, secure, and develop the Platform; perform analytics, testing, and troubleshooting; and generate usage reports.
- AI-enabled features. Some features may leverage AI tools to deliver functionality to you. We instruct our subprocessors to use Personal Information only to provide the requested feature and not to train generalized, public AI models.
- Customer support. To respond to inquiries, tickets, and requests.
- Business operations. For accounting, billing, audits, and other internal purposes.
- Communications. To send service messages (e.g., security, policy, billing), onboarding content, and—consistent with your preferences—marketing communications.
- Security and fraud prevention. To protect the Platform and users.
- Advertising/marketing and affiliate programs. To personalize content, measure
campaigns, manage referrals, and conduct targeted advertising where permitted.
- Legal and compliance. To comply with law, enforce agreements, and protect rights.
Legal bases (where required). We process Personal Information with your consent, to perform a contract, to comply with legal obligations, and/or based on our legitimate interests (e.g., Platform operation, product development, security, direct marketing) not overridden by your rights and interests.
Controller/Processor note (EEA/UK). For our own website and account data, Quantum CRM is the data controller. For client end-customer data processed within the Platform, Quantum CRM is the processor/service provider to the client.
4. How We Protect Personal Information
We implement reasonable and appropriate administrative, technical, and organizational safeguards designed to protect Personal Information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure. If you suspect your account credentials have been compromised, contact us immediately (see How to Contact Us below).
5. How We Share Personal Information
We may disclose Personal Information as follows:
- Affiliates. With our corporate affiliates for purposes consistent with this Policy.
- Service providers/subprocessors. With trusted vendors that host, support, or enable the Platform (e.g., cloud hosting, email delivery, analytics, payments, communications, AI features). Quantum CRM operates the Platform on top of providers that include HighLevel Inc./LeadConnector LLC and other infrastructure or integration partners. We contractually require appropriate protections and limited use.
- Partners and integrations. If you connect third-party services or install marketplace apps, you authorize sharing necessary data with those services under their terms and privacy policies.
- Advertising/marketing partners and affiliates. To help deliver or measure marketing and manage referral programs, as permitted by law and your preferences.
- Business transactions. In connection with (or during negotiations of) a merger, acquisition, reorganization, or sale of assets.
- Legal/compliance. To comply with law, valid legal process, or to protect rights, safety, and security.
- With your consent or direction. When you ask us to share.
SMS/phone consent. We do not share your phone number or opt-in consent with third parties
unless we have your express written consent to do so.
6. Data Retention
We retain Personal Information as long as necessary for the purposes described here and to meet legal, accounting, or reporting requirements. We may retain anonymized or aggregated data indefinitely. Where applicable, you may request deletion (see Your Rights).
7. Children’s Privacy
The Platform is not intended for children under 16. We do not knowingly collect Personal Information from children under 16. If we learn we have collected such information, we will delete it as soon as practicable.
8. Third-Party Links and Services
The Platform may link to third-party sites or enable third-party services. Their privacy and security practices are governed by their own policies, not this Privacy Policy. Please review those policies before providing Personal Information.
9. Do Not Track
Your browser may offer a “Do Not Track” (DNT) setting. The Platform does not currently respond to DNT signals.
10. Your Choices & Rights
Depending on where you reside, you may have rights regarding your Personal Information, including the right to access, correct, delete, port, object to or restrict certain processing, and to withdraw consent where processing is based on consent. You may also manage marketing preferences (opt out of marketing emails via unsubscribe links). To exercise rights, contact us (see How to Contact Us).
10.1 European Privacy Rights (GDPR/UK GDPR/Swiss law)
If you are in the EEA, UK, or Switzerland, you may: (i) request access, correction, deletion, or portability; (ii) object to or request restriction of processing; and (iii) withdraw consent at any time (without affecting prior lawful processing). You also have the right to lodge a complaint with your local supervisory authority. For client end-customer data that we process as a processor, please contact the relevant client (the controller) directly.
10.2 U.S. State Privacy Rights
Residents of certain U.S. states (e.g., CA, CO, CT, DE, IA, MN, MT, NE, NH, NJ, OR, TN, TX, UT, VA, and others as enacted) may have rights to access, correct, delete, or appeal; to opt out of certain processing categorized as “sale,” “sharing,” or “targeted advertising”; and to use an authorized agent. We do not sell Personal Information for money. Some disclosures for advertising/analytics may be considered a “sale” or “share” under state laws—where applicable, you may opt out by contacting us. We will not discriminate against you for exercising these rights.
10.3 Australia
Australian residents may request access to or correction of Personal Information and may lodge complaints with us (see How to Contact Us) or with the Office of the Australian Information Commissioner if dissatisfied.
10.4 Canada
Canadian residents may request access to or correction of Personal Information and may withdraw consent where processing is based on consent. Residents of Québec may have additional rights similar to GDPR; contact us for assistance.
11. International Data Transfers
We may transfer Personal Information to countries other than your own (including the United States and countries where our subprocessors operate). We take steps designed to ensure appropriate safeguards for such transfers consistent with applicable law (e.g., contractual protections). Some of our subprocessors (such as HighLevel/LeadConnector and certain cloud providers) may participate in recognized transfer frameworks or implement other lawful transfer mechanisms.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The “Effective date” above indicates when this Policy was last revised. Your continued use of the Platform after an update constitutes acceptance of the changes.
